How most individuals “sign” their emails can be quite boring. The majority of people use the default fonts provided by their email program. But what if you could have fun creating a really cool signature to use in your emails? You’ll find that your recipients will comment on how clever you are and want to learn how to add unique signatures to their emails too!
The good news is that it isn’t difficult at all. In fact, there are websites where you can create an email signature for free. If you are up for a challenge, you can create your own within Microsoft Word.
To save yourself time and frustration, we have found a reputable site on the Internet that is free to use and user-friendly!! Of course, if you want to take things even further, you can create animated signatures which will have a fee associated with it. Keep in mind that not everyone will have an email program that accepts animation so it might be best to keep it simple. (and we like FREE!)
How to Create an Email Signature Using Microsoft Word
(You must have a scanner to do this.)
- If you want to have your signature BE your actual signature rather than a typed version of it; write your signature on a piece of plain white paper. Always use black ink as it scans better than blue or pencil.
- Scan it into your computer and save as a jpeg.
- Click on the jpeg and select ‘edit’. If you like your signature, simply crop the image to a good size for web images and save to your computer.
- Open your Microsoft Word program and insert your saved signature image in a new document. Add any other additional information you want your email recipients to see; such as your business address or URL, business or home phone numbers and address. Get creative with the fonts and colors. Then save your file as a jpeg.
If you use any type of stationery in your email program and your background is other than white, then follow these instructions. If you use basic white as your background when sending emails, you can skip the next part.
Creating a Signature with a Transparent Background
- Using a photo editing software, open the saved email signature image and use the background eraser to remove the white background. Then when you insert your signature, you’ll only see the background of the stationery you are using in your emails and it won’t look like you just added a photo to your emails.
- Be sure to save this new image as a ‘.png’ file format. This format allows the image to be seen without having a background.
Adding the Email Signature to Your Email Program
- Sign in to your email program and add your new signature. You can have multiple signatures and decide which one you want to use depending on who the recipient is. Read our article on “How to Add Your Email Signature” to your email program.
There are a number of free email signature services available which you can find by doing a search from your browser.
Just a reminder though. Always confirm that the site you are on is a safe site. Many are safe, others may not be. In other words, some sites that offer free services can install malware and spyware on your computer. Be sure you have a good antivirus/antispyware program running and if your provider has a site advisory option; it’s a good thing to add for Internet security.
